Agenda Planning

The tentative agenda for each Board meeting will state the topics for discussion and action. The agenda is part of the public notice of the Board meeting and will be posted and distributed.

It is the responsibility of the Board President and the Board Vice President, in consultation with the Superintendent, to develop the agenda for each Board meeting, although other Board members may request or recommend any appropriate matters for Board consideration as outlined below.

The Board President and Board Vice President shall work with the Superintendent during an Agenda Planning Meeting to determine any items that the administration needs to be placed on the agenda. The Superintendent shall forward the draft agenda to all Board members within 24 hours following the Agenda Planning Meeting. The tentative agenda does not become the final agenda until it is approved by the Board.

Agenda packets will be electronically posted and delivered no less than 24 hours in advance of the regular Board meeting and as soon as practicable in advance of a special Board meeting.

Individual Board Member Requests

Board Members will direct agenda-related questions to the Board President and Board Vice President, with a copy to the Superintendent.

Any Board Member may request that a subject be included on an agenda for a meeting. That request shall be forwarded in writing to the Board President and the Board Vice President, with a copy to the
Superintendent, no less than ten (10) calendar days prior to the regular board meeting. The Board
President may decline the request or assign the item to a future agenda. If the Board President declines a request for an item to be placed on an agenda, then the Board President will provide written rationale for that decision to each Board member within 24 hours following the Agenda Planning Meeting. The majority of the Board may override the Board President’s decision by contacting the Board President and Board Vice President in writing.

No item should be placed on the agenda less than seventy-two (72) hours before publication of the tentative agenda unless the Board President determines that an urgent public necessity exists.

If Board Members wish to add materials or information to the Board packet prior to the meeting, they should direct their individual requests with the additional materials or information to the Superintendent and Board President as soon as possible but no later than 48 hours following dissemination of the draft agenda to Board Members. The Superintendent (or his/her designee) will ensure that timely submitted materials or information are provided to all Board Members. Such materials will be denoted as having been submitted by the individual Board member and are not to be considered reviewed or approved by District staff or the Board.
