Community Use of School Equipment

Code Number: 1004.9

Loaning School Equipment

The Superintendent and/or his/her designee is empowered to loan out District-owned equipment to other governmental or not-for-profit agencies or when the interests of the District are served.

Use of School Equipment

In the event District equipment is used by other governmental agencies or a not for profit agency, the Superintendent may require appropriate school personnel to operate or supervise the use of such equipment. The organization using the equipment will reimburse the District for such labor costs it incurs in the loan of the equipment, and the organization agrees to reimburse the District for any damages incurred for use of equipment not operated by a District employee.

Any District employee using District-owned equipment for use outside their duties as an employee is doing so as a community member, and not as a District employee. Prior to using District resources for activities outside the scope of their job duties, employees must meet the requirements to be considered a qualifying entity. Such use will be permitted only when the user does not interfere with or disrupt the education program or a school-related activity, the use is consistent with state law, and will end no later than midnight. The Board reserves the right to deny the use of District equipment to an entity. It is within the discretion of the Superintendent to allow the use of District equipment on Sundays.

Entities that wish to use District equipment must apply at Operations and Maintenance. It is the responsibility of the Superintendent or his/her designee to determine whether the District equipment requested is available and whether the application for use meets Board policy and administrative regulations. It is the responsibility of the Superintendent or his/her designee to provide application forms, obtain proof of insurance, and draw up the contract for use of District equipment where appropriate.
